Internship Process

The internship process has three stages: preparation before the internship, work during the internship, and submission after the internship. Each stage is explained below in order.

Before the Internship

Complete all of the steps below before your internship starts. Otherwise, your insurance will not begin and you cannot start your internship.

These steps begin after you find an internship position yourself; the department does not place students directly. Register first to receive internship postings and announcements:

1. Choose an Eligible Internship

Before applying, make sure the internship meets the requirements for acceptance:

  • Each internship must last at least 15 workdays.
  • You must complete 40 workdays in total to graduate. The only type requirement is that at least 15 days must be a Production Internship; the remaining days carry no type restriction — they may be a General IE Internship, or further Production Internship days.
  • The internship type is determined before the internship starts, and the report is written accordingly. If you are unsure, consult the internship assistants; final approval belongs to the Internship advisor.
  • You may not change the workplace, department, or internship type during the same internship, so choosing correctly from the outset is important.

Internships cannot overlap with courses you are taking

This applies to a Fall semester, a Spring semester and Summer School alike: what matters is whether you are enrolled in courses, not which term it is. Internships are completed during summer or semester breaks, when you are not taking courses. The final exam period is an exception: because classes have ended, you may start an internship during finals week (even if it overlaps with exams) — the overlap rule applies to the instruction period, not the final exam period.

If you are a double-major (ÇAP) or minor (Yandal) student

The 40-workday requirement above applies to IE primary-major students. Double-major (ÇAP) students whose primary major is not IE only need at least 15 workdays of Production Internship on the IE side. Minor (Yandal) students have no internship requirement on the IE side. See Rules.

3. Insurance and Government Contribution (EK-1)

By law, Boğaziçi University provides all interns with occupational accident and occupational illness insurance during the internship. Your insurance registration is completed through the EK-1 form. If the company applies for a government contribution toward your internship pay, the same form covers that process as well.

  • Download and complete the EK-1 form, then have it signed by the employer.

  • Email the completed form to the Internship advisor: Prof. Dr. Refik Güllü — refik.gullu@bogazici.edu.tr
  • The department approves the form and sends it to the Department of Accounting Affairs, which initiates your insurance premium registration.
  • The Department of Accounting Affairs emails you an insurance registration confirmation. You may begin the internship only after receiving this confirmation.

EK-1 submission window

Email the fully completed form no earlier than one week and no later than two days before the internship start date.

  • The EK-1 document must be a PDF smaller than 1 MB.
  • Once the EK-1 has been submitted, work dates cannot be changed except in the event of a serious health issue.

If the company provides its own insurance

If the company provides internship insurance, the EK-1 may not be required and this step can be skipped. We nevertheless recommend completing it.

During the Internship

The recommendations below will make both your internship and the subsequent reporting process easier. For binding requirements, see the Rules.

  • Update the timetable daily


    Completing the required internship timetable each day is much easier than reconstructing it later.

    • Four columns: Day · Work Accomplished · Page Nr. · Working Hours
    • The date range at the top of each weekly page
    • “Page Nr.” refers to the page in Section 6 where that work is discussed

  • Collect material as you work


    Section 6, the main body of the report, presents your analyses from an industrial engineering perspective. Process notes, data, observations, and the IE tools you use during the internship will be invaluable later.

  • Document Saturday work


    If you work on a Saturday, obtain a signed or stamped letter from the company so that the day can be counted. You will submit this letter after the internship.

  • If your insurance was opened through the EK-1, request the closure document now


    When the internship ends, you'll need a closure document from the company. No specific format is required — a signed/stamped letter showing your internship dates and identifying information is enough. It's much easier to request this before you leave the company than to chase it down later.

    Until this document reaches the Department of Accounting Affairs, your next internship's insurance cannot be opened.

After the Internship

After the internship, you submit documents separately to the Department of Accounting Affairs and the Internship Assistants.

1. Documents for the Department of Accounting Affairs

Obtain a company-approved document confirming that you completed the internship within the dates previously reported to the Department of Accounting Affairs. Request this document from the company and send it directly to the Department of Accounting Affairs.

  • This is not the Trainee Evaluation Form.
  • A scanned copy may be sent by email.

If the University insured you through the EK-1 — send this document without fail

This document closes the insurance process initiated through the EK-1 before the internship. It confirms that you completed the internship on the declared dates.

  • Until this document reaches the Department of Accounting Affairs, a new insurance registration (a new EK-1) cannot be opened for your next internship — in other words, you won't be able to start your next internship without sending it.
  • No specific format is required; a general signed/stamped letter from the company stating your internship start/end dates and your identifying information is enough.
  • This step may not apply if the company provided your insurance.

2. Documents for the Internship Assistants

Submission deadline

Submit these documents online within 21 days of the start of the following semester, which is three weeks after classes begin. See the Rules for late-submission penalties.

Required documents

Optional documents

  1. Payment receipt — required if the company paid the intern and is applying for reimbursement of part of that payment.

  2. Saturday Work Letter — a signed or stamped company letter confirming weekend work.

When submission is considered complete

During submission, you confirm that you submitted the report and all documents that day and provide your email address. A submission with missing documents is not complete, and time continues to run until the missing documents arrive. Once you supply them, the submission is complete.
